Client Experience and Procedure


  • Inquiry and Discovery The process begins when a prospective Client initiates an inquiry through our website, by telephone, or via text to (216) 470-2103. During this initial phase and the follow-up Zoom meeting, we gather essential contact details including the Client’s name, address, telephone number, and email address. We also discuss the specific theme of the project—whether it is a wedding, a professional documentary, or a 3D real estate model—and establish format requirements like 4K Ultra HD. This is also the time to coordinate site visits for FAA-certified drone captures or 8K 3D scanning with the Insta360 X5 8K camera.
  • File Exchange and Proposal To facilitate the project, aLaPony LLC provides a secure link to a shared Dropbox folder where the Client can upload raw assets. No special software or account is required for this; any standard web browser will work. During the Zoom "storybook" session, we review these materials together and explore high-quality stock options from Adobe Stock and Musicbed to find a cinematic sound you love. Following this meeting, we prepare a formal proposal detailing the specific scope, price, and schedule. This proposal is valid for two weeks, and once the Client signs and returns it via email, we move to the booking phase.
  • Booking and Execution Your project is officially booked once we receive the signed proposal and a 50% non-refundable deposit. We issue an invoice for this downpayment through a secure KeyBank link, which accepts most major credit cards. Throughout the production, we may reach out with questions; timely responses (within a day or two) help keep the timeline on track and prevent the project from being placed "on hold". A draft of the video or 3D model is then issued to the shared folder for your review and comments.
  • Final Delivery and Completion Once you approve the final version, we issue the final payment invoice via KeyBank. Upon receipt of payment, aLaPony LLC removes all "DRAFT" markings and provides the high-resolution final renders in the shared folder. We then send a "Project Complete" email. Please note that the shared folder remains active for only three weeks after completion. It is the Client's responsibility to download and back up the final 4K video and 3D files within this timeframe. Finally, we always appreciate a quick email confirming that the files are saved and that you are happy with the results.
